Privacy Policy

When and why we collect your personal information, how we use it, when we might need to disclose it, and how we keep it secure.

Introduction

Here at Mobile Billboards, we are committed to maintaining the trust and confidence of our website visitors and clients. If you have any questions about this privacy notice, please contact us using the details set out below.

Full business name: Monster Media Agency Ltd (company number 11769674), trading as Mobile Billboards
Email address: hello@monsteroutdoor.co

Types of data we collect

  • Website cookies, only with your consent apart from the one that remembers your choice. See Cookies below.
  • Google Analytics and Google Ads, only if you accept cookies. They tell us which pages are viewed, which ads and websites bring visitors, and which visits lead to an enquiry or booking. They use an online identifier stored in a cookie, which is personal data even though it does not show us your name.
  • Where your enquiry came from: when you send the quote form or book AdBikes we record the page you first arrived on, the website that sent you, any campaign tags in the link and, if you came from a Google ad and accepted advertising cookies, the Google click id. See Where your enquiry came from below.
  • Contact data, such as billing address, delivery address, email address and telephone numbers.
  • Payment data: Stripe takes card payments on its own page; we see only whether a payment went through, never your card details.
  • Marketing and communications data, your preferences in receiving marketing communications from us and your communication preferences.

How we collect data

We collect data through direct interactions including when you:

  • fill out a form on our website
  • call or email to ask about our services
  • order our services
  • give us feedback

We also collect data automatically through cookies and our website server logs to learn more about our website visitors' browsing actions and usage patterns.

How we use data

We will use your personal data to:

  1. register you as a new client
  2. manage payment
  3. collect and recover monies owed to us
  4. manage our relationship with you
  5. send you details of our goods and services

Our legal grounds for processing your data in relation to points 1 to 4 above are for performance of a contract with you and, in relation to point 5, necessary for our legitimate interests to develop our products and services and grow our business. We also rely on our legitimate interests to record where an enquiry came from (see below), and on your consent for optional cookies. We may also use your data where we need to comply with a legal or regulatory obligation.

We only email you about our services if you are a business contact of ours or have agreed to it, and every email lets you opt out.

Where your enquiry came from

With each quote request and AdBike booking we record: the page you first arrived on and the page you arrived on this visit, the website that sent you (its address, never its search terms), any campaign tags in the link (utm_source, utm_medium, utm_campaign, utm_term, utm_content), whether you came from a Google ad (and its Google click id, only if you accepted advertising cookies), whether you accepted cookies, and a reference number for the enquiry. It goes into the enquiry email our team receives and our customer records, and for bookings into the payment record at Stripe. Before you accept cookies it is held only in the open page; if you accept analytics cookies the first visit is also kept in the mb_attr cookie for 90 days.

We use it to know which of our advertising and pages bring enquiries, which is in our legitimate interests. We keep it with the enquiry for as long as we keep the enquiry. If you accepted advertising cookies, we may later tell Google Ads that an enquiry from a Google ad became a quote or a booking, and what it was worth to us, using the Google click id and hashed (scrambled) copies of your email address and phone number. A hashed copy is still personal data, and Google processes it for us under its Ads data processing terms. We do not do this for anyone who did not accept advertising cookies. To stop us doing it for an enquiry you have already sent, email hello@monsteroutdoor.co.

If you arrive from one of our Google ads and accept advertising cookies, Google may show a Google forwarding number in place of our phone number. Your call reaches us in the same way. Google then tells us the time and length of the call and your area code, not your full number.

To protect our Google ads from fake and repeated clicks, when you arrive from one of our Google ads our website server records your IP address, browser details, the page you landed on and the Google click reference in the link. We keep this for 30 days and use it only to detect and block fraudulent clicks. Nothing is stored on your device for this. This is in our legitimate interests: it stops our advertising budget being wasted.

Who processes data for us

  • Vercel: hosts this website, stores uploaded AdBike artwork and runs cookieless page view statistics.
  • Postmark: delivers the enquiry and booking emails.
  • Google Workspace: our email, where enquiry and booking emails arrive.
  • Our own lead system (hosted by Vercel): keeps a record of each enquiry and its source.
  • Pipedrive: our customer relationship management system, where enquiries and bookings are recorded and followed up.
  • Stripe: takes card payments for AdBike bookings.
  • Google: Analytics, Ads and Tag Manager, only if you accept cookies.
  • postcodes.io: looks up the town or postcode you type into the AdBike booking form to work out the distance.

We do not use Meta (Facebook), X (Twitter), Microsoft Advertising or Hotjar on this site.

Cookies

Cookies are small files a website stores in your browser. We ask before we set any cookie that is not strictly necessary. When you first visit, a bar at the bottom of the screen offers Accept all, Reject all or a choice by category. Until you accept, Google Analytics and Google Ads are not loaded at all, and if you reject they are never loaded. We keep your choice for 6 months and then ask again.

You can change or withdraw your choice at any time: (also at the bottom of every page). You can also delete cookies in your browser settings.

Analytics cookies are only set if you allow analytics. Advertising cookies are only set if you allow advertising. If you allow either, the site also keeps a short list of paid booking references in your browser's local storage (mb_paid_refs) so a payment is not counted twice.

We also use Vercel Web Analytics, which counts page views without cookies and without storing anything in your browser.

Securing and storing data

Some of our third party providers are businesses outside the UK in countries which do not always offer the same levels of protection for your personal data. We do our best to ensure a similar degree of security by ensuring that contracts, codes of conduct or certification are in place which give your personal data the same protection it has within the UK. If we are not able to do so, we will request your explicit consent to the transfer and you can withdraw this consent at any time.

We keep enquiries, bookings and the source details recorded with them for up to 3 years from our last contact with you, and invoices and payment records for 6 years because accounting law requires it. Google Analytics keeps event data for 14 months.

Protecting your data is important to us and we have put in place security measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. We also limit access to your personal data to those employees, agents, contractors and other third parties who have a business need to know such data. They will only process your personal data on our instructions and they are subject to a duty of confidentiality. We have put in place procedures to deal with any suspected personal data breaches and will notify you and any applicable regulator of a breach where we are legally required to do so.
